We currently have an exciting opportunity for a Full-Time Executive Assistant to support our Executive Vice President & Chief of Clinical Programs and Vice President of Human Resources.

 

Location:  Wilson Site - This is an onsite position.

 

Position Summary:

The Executive Assistant will provide wide range of administrative and operational support for day-to-day operations and projects in two assigned portfolio including Executive Vice President & Chief of Clinical Programs and Vice President of Human Resources. The Executive Assistant holds a trusted position in the administration office exercising confidentiality in the management and release of all information. This role may be required to provide additional support for other executive portfolios as required.

Key Responsibilities:

  • Provide primary administrative and project support to Executive Vice President & Chief of Clinical Programs and Vice President of Human Resources and secondary administrative and project support to assigned staff within the executive’s reporting structures; track event, project and report due dates to ensure deliverables are met
  • Act as the assigned office’s first point of contact for internal and external contacts to facilitate smooth, effective, and accurate information flows; balance priorities; respond to issues brought forward by staff, patients, patient families, volunteers, etc.; de-escalate complaints and refer to leadership staff for resolution
  • Draft and prepare correspondences for various audiences, including the Board of Governors (e.g. memorandums, contracts, policies, reports and presentations); assist in the coordination and compilation of packages for board meetings; monitor accuracy of materials content
  • Calendar management and scheduling
  • Develop and maintain organized filing systems; maintain records; locate files, documents, and other information
  • Other duties as required

Qualifications:

  • Bachelor’s Degree in Business Administration, Health Informatics or related discipline
  • 5 years of experience providing administrative support to senior leaders or executives
  • Experience supporting internal and external meetings; Board of Directors, Regional tables, etc.
  • Experience in complex calendar management, drafting correspondences, recording minutes, project coordination and preparing reports
  • Proficient with MS 365 and virtual meeting platforms
  • Demonstrates high level of prioritization and organizational skills
  • Demonstrates ability to independently problem solve in a tactful and diplomatic way
