We currently have an exciting opportunity for a Clerical Coordinator to join our Schulich Family Medicine Teaching Unit (FMTU) team.

Reporting Relationship: Manager, Schulich Family Medicine Teaching Unit and Integrated Care Services

 

Hourly Rate Range:  $34.470  - $35.616
Hours of Work: Must be available for 8-hour shifts during weekdays (Subject to change)
Location: Wilson Site

 

Responsibilities include, but are not limited to:


• Oversees all referral to the Schulich FMTU in collaboration with relevant clinical/clerical staff.
• Facilitates efficient and accurate tracking and flow of patient referrals within the program as well as to outside agencies.
• Responsible for ensuring the daily operation of the clerical areas, including registration and booking desks and assigns job functions to clerical staff.
• Prepares and posts staff schedules in collaboration with manager; in adherence with collective agreement(s).
• Assists with coordinating functions for the orientation/training of new staff.
• Facilitates/problem solves to resolve issues within the scope of the role including the balancing of workload, and escalates unresolved concerns to the attention of the manager.
• Acts as site lead for the primary care Electronic Medical Record (EMR) (i.e., OSCAR-PRO) and referral platform OCEAN communications and coordination
• Oversees patient flow to optimize efficiency of the Interprofessional team members’ time
• Responsible for the inputting, updating and oversight of physician, resident, and interprofessional team member’s schedule within clinic EMR (i.e., OSCAR-PRO)
• Assists directly, when needed in program clerical support associate duties.
• Orders and restocks clinical and office supplies
• Interacts with other hospital departments, laboratories and external medical institutions on behalf of patients and team members (i.e., follow-up for referral and appointments, diagnostic results, consult reports, etc.)
• Prepares day lists and patient encounter forms for the next day’s clinic
• Responsible for coverage, as required for planned or unplanned staff absence.
• Performs other related duties as assigned

 

Requirements:


• Completion of a Community College Medical Secretary or Business Administrative Diploma preferred.
• Minimum 3 years full time equivalent recent and relevant experience in a busy clinical environment required.
• Previous experience in a primary care provider setting or academic is an asset.
• Medical terminology courses preferred.
• Good keyboarding skills with minimum typing speed of 40 WPM (the ability to perform medical transcription is preferred).
• Demonstrated computer proficiency including Microsoft Office (Excel).
• Exceptional communication skills, both oral and written.
• Ability to effectively interact with professionals of various disciplines as well as with patients and families, and effectively respond to concerns that arise.
• MEDITECH computer experience an asset.
• Experience with EMRs (i.e., OSCAR, Telus PCC) used in primary care setting an asset.
• Excellent organizational and problem-solving skills and detail orientated.
• Effectively able to re-establish priorities, as needed.
• Demonstrated ability to cope with tight deadlines, frequent interruptions and emergency situations.
• Ability to work in a multidisciplinary setting including medical residents and learners.
• Ability to work autonomously as well as in a team setting.
• Knowledge of a second language an asset.
• Proven ability to provide excellent customer service, on the telephone and in person.
• Applicant may be required to successfully complete full administrative testing, to include typing speed and MS Office.
• Excellent attendance and discipline free record required.
