We currently have an exciting opportunity for a Supervisor, Contract & RFP to join our Procurement, Logistics and Mail Room Services team.
Employment Status: Full-time
Hours of Work: Monday to Friday. Overtime & weekends may be required

Responsibilities:
Contract Development, Renewal, and Administration
- Coordinate and manage the full contract life cycle for items purchased via purchase order.
- Maintain and administer the contract database, addressing issues that directly affect departmental budgets and minimizing fiscal risk.
- Acquire, negotiate, renew, and develop contracts by gathering product/service needs from client departments and administering procurement processes.
- Proactively manage contract renewals prior to expiry.
- Collaborate with clinical and operational leadership, external vendors, and stakeholders to achieve agreements that align with organizational needs.
- Prepare financial reviews and summaries of contract costs and savings for leadership decision-making.
Contract Compliance, Risk Management, and Process Improvement
- Monitor vendor compliance with contract terms; identify and resolve vendor, departmental, and contractual issues to ensure timely execution.
- Analyze contract interdependencies (e.g., medical imaging, facilities, biomedical, clinical, and operational departments) to reduce organizational and financial risks.
- Address issues such as off-contract expenditures, approval gaps, and compliance concerns; escalate complex issues to the Director when needed.
- Develop and analyze fiscal reports, including year-end financials, savings, rebates, and trend analyses, to support fiscal stewardship.
- Recommend and implement strategies to improve contract management and administration processes, ensuring alignment with organizational priorities.
Supervision of Buyer Operations
- Lead, guide, and coordinate Buyer team workload activities to ensure timely procurement of inventory and non-inventory supplies and equipment.
- Monitor, correct, and optimize staff (Buyers) output, including invoice and purchase order accuracy.
